Job Overview
Our client, is an award-winning UK-based global crewing and staffing company supporting major events, exhibitions, and live projects across the UK, Europe, the Americas, and beyond.
They are looking for an energetic, dependable, and highly organised Operations Co-ordinator to support the recruitment, scheduling, logistics, and day-to-day coordination of event labourers, riggers, crew chiefs, and site teams.
This is a fast-paced role suited to someone who enjoys variety, thrives under pressure, and is confident communicating with clients, crews, foremen, and internal operations teams. The events industry is dynamic and often requires flexibility, so the successful candidate must be comfortable supporting work schedules that may fall outside a traditional 9-to-5 structure.
Key Responsibilities
Recruit, onboard, and support temporary site workforce members.
Communicate daily and weekly work schedules, briefs, and key updates to crew members.
Maintain regular contact with crew, foremen, clients, and operations managers.
Coordinate logistics, including flights, ferries, accommodation, and site arrangements.
Monitor daily live check-ins through the company app or crew portal.
Keep CRM records, worker details, schedules, and administrative information fully up to date.
Prepare reports, data updates, general correspondence, and operational documentation.
Support worker progression, reviews, assessments, and retention activities.
Co-ordinate crew movements and day-to-day workforce planning.
Process worker hours, timesheets, invoices, and payroll information through the CRM.
Assist with lead generation, account management, and project coordination.
Provide weekend and out-of-hours operational cover where required.
Support a high standard of service delivery for clients and crew members.
Qualifications and Experience
Ideally 2+ years’ experience in one or more of the following roles:

Scheduler
Strong communication skills, with confidence speaking on the phone and writing professionally in English.
Excellent organisation, time management, and attention to detail.
A proactive, energetic, and positive attitude.
Strong problem-solving ability and logical thinking.
Confidence handling fast-moving priorities and last-minute changes.
Ability to remain calm when managing operational pressure or conflict.
Comfortable working with multinational teams, workers, and clients.
Good working knowledge of Microsoft Word, Excel, Outlook, and CRM systems.
Experience in events, staffing, recruitment, logistics, or workforce planning would be highly advantageous.
Must have access to a reliable laptop, stable internet connection, and a quiet professional working environment.
Flexibility to support UK operating hours, including early starts, weekend cover, and occasional out-of-hours requirements.
Working Hours and Benefits
Full-time role.
Monday to Friday, with weekend cover required.
Typical working hours may fall around 07:00–17:00 GMT, depending on site crew times, client calls, and orders.
21 days’ holiday plus bank holidays.
Company laptop and phone provided where applicable.
